Operating Headsets
Hardware Setup & Initial Configuration
- Unbox the Quest 3 headset and controllers, removing all protective films and packaging.
- Charge the headset using the provided USB-C cable.
- Download the Meta Quest app on your smartphone and create a Meta account if you don’t have one.
- Turn on the headset and pair it with your account through the app.
- Follow the in-VR tutorial to set up Wi-Fi, language preferences, and adjust the headset fit
Note: If your headset is using Meta for business, follow this guide for initial setup
- Loosen the side straps and then the top strap.
- Starting from the back, put on your headset. Make sure to pull the back strap down until it cradles the base of your head. If you’re wearing glasses, put on the headset from the front first.
- Tighten the side tabs and then top strap. Make sure that the straps aren’t too tight. The headset should fit comfortably and not apply too much pressure on your face and head.
- With your hands holding both sides of your headset, slowly move your Oculus Quest up and down until the picture is clear and the headset feels comfortable.
- If you wear glasses, insert the glasses spacer into your Oculus Quest headset prior to using it.
Hand tracking allows you to use your hands to interact with your surroundings. Avatar Academy only uses hand tracking for their applications. This ensures that anyone can pick up a headset and start training without having to figure out who to use gaming controllers.
Interactions are done using simple gestures such as pressing a button with their fingers or grabbing an object by closing their fist. Please ensure hand tracking is enabled from the settings menu on your headset before starting a training session.
Guardian lets you create boundaries in VR that appear when you get too close to the edge of your play area. You can choose between Roomscale or Stationary.
- Stationary: For using your headset while sitting or standing in place. Stationary mode creates a default boundary area of 1 metre by 1 metre (3 feet by 3 feet) centred on yourself.
- Roomscale: For using your headset while moving around inside your playing area. Roomscale allows you to draw your boundaries in your physical space using your Touch controller. We recommend a safe and unobstructed space measuring at least 2 by 2 metres (6.5 by 6.5 feet).
Your headset view can be reset or recentred at any time while using your Meta Quest headset.
To reset your view with your hands, place your right hand with your palm facing you. When you see the icon appear, pinch your index finger to your thumb until the view resets.
Your Oculus Quest needs to be connected to a Wi-Fi network to use and access most features and content. To change the Wi-Fi network your Oculus Quest is connected to from your Oculus Quest Headset:
- Turn on your Oculus Quest and put on your headset.
- Select Settings from the bottom toolbar menu.
- Select Wi-Fi.
- Select the Wi-Fi network you’d like to connect to.
- If prompted, enter the password for the Wi-Fi network you’d like to connect to.
- Select Connect to connect to the Wi-Fi network.
- Adjust the interpupillary distance (IPD) using the notch at the bottom left of the headset for optimal visual clarity.
- Ensure a comfortable but secure fit of the headset to prevent wobbling.
- Familiarise users with motion sickness mitigation techniques and encourage taking breaks during long sessions.
Sunlight can cause permanent damage to the lenses, therefore please keep the headset away from windows and don’t use it outside. Don’t use alcoholic wipes to clean the headset as this can damage the headset. Instead, you can use non-alcoholic, anti-bacterial wipes.
Using Avatar Academy
Overview
- Put on the Oculus Quest headset
- Select the training application from the library
- Login using the user name and PIN selected during the registration process
- Select the desired training course and select a module
- Modules are made up of multiple learning modes namely: Demonstration, Explainer, Practice and Exam
- Trainees will need to complete all learning modes to pass
Training Management System
Trainees are added to the Avatar Academy Platform via the Avatar Academy Web Portal
- In order to access the web portal, an email will be sent to the designated administrator. They should ideally use a dedicated VR Training email account.
- They will be asked to create a validated password for account usage
- Once logged in, they will have access to the relevant training data via a dashboard
- The administrator will need to navigate to the trainee section of the portal.
- Trainees can be added via the ‘Add Trainees’ button
- An email, first name, second name and training course is required before clicking ‘Send Invitation’
- Trainee receives an email from Avatar Academy. They click on the hyperlink to open a registration page in their browser.
- They are required to add a username, password & Pin to be used to access their training content
- Once details are submitted, an acknowledgement email is sent to welcome the trainee to Avatar Academy
- Once they put on the headset and open the application, they can log in using their username and PIN. They also have access to their training data as well as the ability to change their password, PIN and username via the web portal.
Note: If trainees have not received an email from Avatar Academy, they can still register a training account via the web portal overview page. Click on the ‘Need to link account’ and enter the email already submitted to Avatar Academy.
Via the Web Portal, administrators can see an overview of all training data KPIs relevant to their training needs.
- Dashboard page – overview of training usage over time – number of sessions, duration, locations, module completion etc.
- Courses – breaks training data into modules – leaderboards rank best active trainees
- Trainees – Overview of individual training data – how many sessions, duration, overall performance can be assessed. Each trainee’s progress can be accessed from here to see their individual performance
Once a trainee has completed a training module, an email is sent to the administrator to inform them as such. The number of training sessions, errors, duration and performance over time are summarised. This enables the trainer to be kept up to date with training progress for all trainees.
Accessible via the Trainee page
- Edit trainee – allows the administrator to rename the trainee if a mistake was incurred
- Archive trainee – Trainees marked as active can be marked down as inactive – this will remove them from leaderboards
- Delete trainee – The administrator can delete inactive trainees from the Platform – this will remove all personal data related to the trainee
